Protecting your data and privacy is very important to TFW FOOD SERVICES LTD

This policy sets out the basis upon which we will process personal data that we collect from you, or that you provide to us when you use our Services meaning the services relating to the TFW cashless catering system.

Please read the following carefully to understand the types of information we collect from you, how we use that information and the circumstances under which we will share it with third parties.

INFORMATION WE MAY COLLECT ABOUT YOU

1. Personal Information
Information you give us:

We do not capture or store any Personal Information about you when you visit this website (www.tfwfoodservices.ie), except where you choose to submit Personal Information by using or signing up for our cashless catering system. The data collected and stored will at all times be adequate, relevant and not excessive.

When you sign up for an “Account”, we collect personal information which may include: first name, last name, password and email address as well as the name of the authorised user whom the Card will be assigned to i.e. the Cardholder(s) and the location for use of the Card. All of the above personal information that you enter can be accessed and viewed by you via your account at any time.

We will provide the Services to you and on the basis of the Information that you have provided. You agree to provide accurate Information and to update any changes to your Information.

Information we collect about you:

We may process and collect data related to the use of the Services such as purchases and smartcard transaction value, time, date, payment method, location, billing name and billing address for the purpose of delivering the Services to you.

All of the above information collected is held on your account as part of the Services we provide to you and can be viewed and accessed by you via your Account.

Any personal information which you volunteer to TFW Food Services will be treated with the highest standards of security and confidentiality, strictly in accordance with GDPR

2. Non-personal Data

We also use aggregated customer data, which has been stripped of any personally identifying information to help us identify trends and improve our service. We also collect the Internet address (IP address) and other identifying information about the computer or device you use to access your Account or use our Services in order to help detect possible instances of unauthorised access and usage.

Cookies

TFW use temporary cookies in order to maintain your secure session while you are logged in to your TFW account. We only use the cookie for the session (while you are logged in) and do not store them on your computer permanently. We do not collect any personally identifiable information and we do not use any analytical cookies to track your behaviour.

USE OF DATA

We may use information collected about you in the following ways:

  • for the purpose of creating and maintaining your Account
  • to provide you with the information, products and services that you have requested from us, activated and signed up for
  • to verify the identity of account holder where required
  • to verify the identity of cardholder where required
  • to contact you if required in connection with your account or to respond to any communications you might send us
  • to provide you with updates about our services and products
  • to conduct aggregate analysis and develop business intelligence that enable us to operate, protect, make informed decisions and report on the performance of our business

We will retain your information for as long as necessary to fulfill the purpose(s) above, and in accordance with the law.

DISCLOSURE OF INFORMATION TO THIRD PARTIES
Payment providers

Our Services provide the facility to make online payment i.e. to top-up cards. All payments are processed by a third-party payment gateway service provider, Opayo. This third-party provides payment services for customers making payment with credit or debit cards online. The personal information including credit or debit card numbers, which you provide to this third-party is never stored on our systems. As such, this information is subject to the privacy and data retention policies of the payment provider being used. We will share with this third-party only the necessary and anonymous transaction data required to process the online purchase.

Other Third Parties

We will never sell, rent or trade your data to anyone.

We will not disclose your Personal Data to third parties unless you have consented to this disclosure or unless the disclosure is required in order to process an application or other communication from you or to perform the services for which you have signed-up for. We use reputable agents (data processors) to fulfill services or perform any necessary functions on our behalf in regards with the Services. The information that we provide to them will be protected by a confidentiality agreement and is to be used solely for fulfilling the Services.

We will however disclose your Personal Data if we believe in good faith that we are required to disclose it in order to comply with any applicable law, a summons, a search warrant, a court or regulatory order, or other valid legal process.

SECURITY

Your Personal Data is hosted on a secure server. We use reasonable organisational, technical and administrative measures to protect personal data. Unfortunately no data transmission or storage system can be guaranteed to be 100% secure.

We would always advise you to be cautious as regards disclosing your personal details online. We will only ever request your personal details if you are seeking to initiate contact with us or if you make a request for a particular service. We will never request your bank details.

Any external links to other websites are clearly identifiable as such and we are not responsible for the content or the privacy policies of these other sites as they may not maintain the same privacy standards that we maintain.

HOW YOU CAN ACCESS OR CHANGE YOUR PERSONAL DATA

All data that we hold on you is accessible and viewable by you via your account.

You may inform us of any changes in your Personal Data, and in accordance with our obligations under the Data Protection Acts we will update or delete your Personal Data accordingly. To update your personal details contact us by email here (cashless at tfwfoodservices.ie).

USE OF SERVICES BY MINORS

We understand the importance of taking extra precautions to protect the privacy and safety of children using the Services. Person under the age of majority (18) are not permitted to create their own TFW Account. Only a parent or legal guardian can create an account and provide consent as part of the account creation to process the child’s data solely for the purposes of the Services that you registered for.

CHANGES TO THE PRIVACY POLICY

Any changes to this Privacy Statement will be posted on the website so you are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If at any time we decide to use Personal Data in a manner significantly different from that stated in this Privacy Statement, or otherwise disclosed to you at the time it was collected, we will notify you by email, and you will have a choice as to whether or not we use your information in the new manner.
